Change Your Workspace Plan

Change Your Workspace Plan

Paid workspaces use either the Collect or Control plan. Your workspace plan determines which features are available. If your needs change, you can switch the workspace’s Plan type.

To learn which plan is right for your organization, see Compare Collect and Control Plans.

Who can change the workspace plan

Any Workspace Admin can change a Workspace’s plan, including upgrading from Collect to Control and downgrading from Control to Collect.

The Workspace owner pays for the Workspace, so plan changes made by any Workspace Admin affect the Workspace owner’s bill.

If you have an Annual subscription, changes to your plan may be restricted. To learn more, see When You Can Change Your Plan.

What happens after you change the Workspace plan

When a Workspace Admin changes the plan, Expensify posts a message in the Workspace’s #admins room. The message shows which Workspace Admin made the change, and the Workspace owner and all Workspace Admins can see it.

  • Upgrade to Control: The message says “[Admin name] upgraded this workspace to the Control plan.” The Workspace Admin who upgraded also gets a private message in #admins with Control plan pricing.
  • Downgrade to Collect: The message says “[Admin name] downgraded this workspace to the Collect plan.”

How to switch to the Collect or Control plans

  1. In the navigation tabs (on the left on web, at the bottom on mobile), go to Workspaces > [workspace name].
  2. Select Overview.
  3. Select Plan type.
  4. Choose Collect or Control.
  5. Confirm your selection.

How to upgrade from a Submit workspace

A free Submit workspace can be upgraded to Collect or Control. Once upgraded, it can’t be downgraded back to Submit.

FAQ

Can a Workspace Admin change the Workspace plan?

Yes. Any Workspace Admin can upgrade or downgrade the Workspace plan. Subscription settings, such as the subscription type and payment card, are still managed by the Workspace owner.

How will the Workspace owner know if a Workspace Admin changed the plan?

Expensify posts every plan change in the Workspace’s #admins room, which the Workspace owner and all Workspace Admins can see. The message shows which Workspace Admin upgraded or downgraded the Workspace.

Can I switch back to Control after downgrading to Collect?

Yes. You can upgrade a workspace to Control at any time by returning to the Plan type setting.

What happens to my bill when I downgrade to Collect?

Your new plan’s rate applies to your next monthly bill. The current billing period isn’t pro-rated or refunded. If you have an outstanding balance, resolve it before downgrading—see Fix a Billing Issue.

Why is my Plan type locked?

This happens when you’re on the Control plan with an Annual subscription. You’ve committed to your active members on Control until the subscription term ends, so you can’t downgrade to Collect before that date. The locked message shows exactly when your term ends.

Why can’t I downgrade my invoiced subscription?

You can’t downgrade the plan on an invoiced subscription from the app. Reach out to your Account Manager or Concierge to discuss or make changes to your subscription.

Can I downgrade a paid workspace back to a Submit workspace?

No. Once a Submit workspace is upgraded to Collect or Control, it can’t be downgraded back to Submit.
